If an SP has to cancel an appointment?

Just a question for you guys out there...

If a SP has to cancel an appointment you booked with her, what method is th best way of doing so. I personally don't hold on to any #'s or email addresses so how do I go abouts cancelling an appointment?

I recently had a situation where my website was updating and I missed a booking made though my website while it was down. I did get the notification until 15 mins to the time of the booking, and for sure I wasn't going to be able to make it. the gentleman did send his # but I didn't feel comfotable calling, just cause you never know, and of couse I didn't want too call without permission. In this case what should an SP do, or have done?:confused::confused:

Perhaps you should require clients to reconfirm a booking by calling, texting or e-mailing an hour before the appointment. That way, you could tell them you were unable to keep the appointment without actually calling them first.

If he sent his number and you have it. It would be a courtesy call to let him know or text him.

Text him telling him to call you , hopefully he checks his texts. Or just call him.

Something like:

"You've won the opportunity for a Weekend Vacation, you only need to attend a one hour session to qualify. Call xxx-xxxx for more detail, before 11:30 today"

or to cancel an appointment "Please contact our Last Minute Vacation Getaway Hotline today. We regret we have no appointments available today, but contact us to book an trip later this week, xxx-xxxx SP Name"

If someone else picks up your phone sees the xxx-xxxx SP Name at the end of the ad the first thing that they would do is put the number/ name into google to see who is spamming the phone. The first link on google would probably be EC or the ladies website...either way leading to answering uncomfortable questions...

Personally I won't use online forms unless absolutely necessary, and if I did I would never use my real name or phone number. When you do that, any number of people get access to your personal information, and proof of your hobby. People who are not experienced running websites may not realize how simple it would be for any hosting company techie, hacker, or anyone else who has access to the server to get all the details people have entered on those forms.

I say just use phone and email to communicate with clients, like 99% of the SPs out there do. When you make an appointment, ask the client if you can call him at that number if anything comes up and you have to cancel or reschedule the appointment. If he says no, inform him via email.

Only get rid of the client's contact information after the session.

Texting is a bad idea

Most phones are totally unlocked. If anyone picks up your phone they could read the text and the number that sent it. With a phone call the SP is still in control of the communication.
